Veterinary Client Service Supervisor

Willow Run Veterinary Clinic has an immediate need for a confident, caring, and results-driven Client Service Supervisor to join our team. We are a 6 doctor veterinary practice that has been serving our community for over 40 years. Our practice consists of a wonderful team of doctors, and an amazing team of technicians and client service representatives. The Client Service Supervisor guides the daily activities of the Client Services Team under the direction of the Practice Manager. Primary responsibilities include communication between Client Services and all areas of the hospital for interdepartmental activity to run smoothly and efficiently in the absence of the Practice Manager.

As a Veterinary Client Service Supervisor:

  • You will participate in the interviewing, hiring, and training of new Client service associates, to include weekly check-ins to ensure retention

  • This is not an office based position, you will spend 90% of your time working directly with your team in the role of a Client service associate, and will demonstrate excellent client service at all times

  • You will schedule the client service associates cost-effectively to ensure the provision of sufficient staffing to meet and/or exceed client needs at every shift.

  • You will work directly with clients to resolve any areas of dissatisfaction, and if unable to mitigate the issue successfully, will escalate the concerns to the Practice Manager. You will pre-emptively identify specific areas that could cause client dissatisfaction, and will offer feedback to co-managers in a polite and respectful fashion

  • You will actively participate in building positive internal relationships and offering useful feedback, encouragement, support and participation in process-improvement efforts.

  • You will clearly communicate with client service associates, one-on-one and in group settings, to ensure consistent understanding and changes in protocol, polices etc.

  • You will effectively collaborate with the Medical Director and Practice Manager to continuously review policy and procedure in regard to client service, and implement change, when indicated; you are not afraid of change, and recognize the need to maintain relevant in regard to our client's wants and needs

  • You will oversee collection activity, doctor scheduling within our Practice Management Software, and other duties assigned by the Practice Manager

Experience Preferred:

  • Education: Associate degree or equivalent in a related field preferred.

  • Experience: 3-5 years of proven success in managing professionals in complex organizations, either within veterinary/human medicine, hospitality, or client services medicine, hospitality, or client services industries.

This position includes nights, a Saturday rotation, and the flexibility to cover open shifts due to vacation, sickness, etc. We are closed on Sundays and all major holidays. Veterinary Technician

Willow Run is in search of a fantastic Veterinary Technician to join our team! We are a 6 doctor practice located just outside of Lancaster, PA. We have had the distinct pleasure of serving our community for over 40 years. Our newest team member will engage in all aspects of the practice, including but not limited to: assisting our doctors with medical, surgical, and dental procedures, performing emergency care, taking x-rays, surgical assistance, blood sampling, IV catheter placement, and administering injections and medications in accordance with government regulations and hospital policies.

Our ideal candidate values exceptional patient care, good communication, has a team player mentality, has exceptional attention to detail, is punctual, reliable, and has excellent technical skill! Client Service Representative

Willow Run Veterinary Clinic is looking for a candidate interested in a full time or part-time position as a customer service representative. The individual will excel in first impressions to clients, while working as part of the team. We are looking for a candidate who aspires to a long-term career in the veterinary field and loves interacting with pets and clients. The Client Service Representative has the responsibility of upholding client satisfaction by providing excellent customer service.

Job responsibilities include but are not limited to the following:

  • Answering phones, greeting clients, scheduling appointments, and responding to other client inquiries

  • General reception duties, including client check in and check out, reconciliation of payments received, and educating clients about payment options in addition to cash, check and/or traditional credit cards

  • Clerical tasks

  • Other tasks as assigned by the Client Service Supervisor

This is a part-time position. Candidate must be able to work varying shifts including a rotating Saturday. Dates and times will vary based on hospital need but will primarily include afternoon/evening shifts. The ideal candidate will have previous experience working with clients in the veterinary field or a medical practice, be detail oriented, and have hands on experience with Practice Management software, and other computer programs. Must be able to lift up to 40 pounds, endure sitting, standing, and walking on hard surfaces for extended periods of time. EOE
